The 4-Step Outbound System in DACH

by Helena Klaus
May 28, 2025

Most sellers treat outbound like throwing spaghetti at the wall.

Then they wonder why nothing sticks.
Cold outreach only works if you treat it like a system. Not a gamble.

Here’s the exact 4-step outbound setup that’s helped us (and many of our Sales in DACH Academy members) land meetings with DACH prospects consistently 👇

🧍 Step 1

Build Your Persona Mastersheet

Before you write a single message — know who you’re talking to.
I use a simple table that maps each persona like this:

🔍 What this gives you:

→ Messaging clarity
→ Better relevance
→ A goldmine for LinkedIn posts and voice notes

Sales in DACH Example:
🎯 Persona: Head of Sales
💼 Goal: Ramp Sellers faster
😓 Problem: Lack of onboarding structure
🔥 Pain: Pipeline gaps, frustrated team
🧩 Solution: Role-based learning paths + real talk from German-speaking top sellers
💸 ROI: Faster ramp, higher morale, 20% more pipeline in 4 weeks

🁳 Step 2

Set Up Persona-Specific Cadences

Once you know your personas, it’s time to build sequences that speak directly to them.

We covered the exact cadence in this newsletter issue:

12 steps, multi-channel, and DACH-proof.

🎙 What works best?
LinkedIn voice notes as the first touch.
We're seeing 30–50% response rates depending on persona and personalization level.

💪 Step 3

Consistent Execution > Perfect Sequences

Outbound doesn't work if it lives in a Notion doc.
It works if you do it. Daily.

Here’s the formula:

💥 Take 5 accounts per day
💥 Add 3–5 prospects per account
→ That’s 15–20 high-quality leads into your cadence, every single day

By the end of the month, you’ve reached 300–400 people – intentionally, not randomly.

🧐 Step 4:

Review + Refine Every Month

Block 30 minutes at the beginning of each month.
Why not end-of-month? Because we both know you’ll be sprinting to hit quota 😅

What to look for:

  • Where do people drop off?

  • Are your VMs getting heard?

  • Is a specific CTA working better for one persona?

📊 Outbound is not a set-and-forget system.
It’s a feedback loop. And every drop-off point = data you can use to improve.
